There are two ways to leave a voicemail without reading it out yourself: drop a recording you made, or let TopReach speak a voicemail script in an AI voice.
Drop a recorded voicemail
- Go to Phone → Settings → Voicemail.
- Under Recordings library, click Upload recording and choose an MP3 or WAV file. If you're allowed to share recordings, first choose Personal or Workspace (shared).
- Under Your voicemail drop, turn on Voicemail drop and choose My default recording.
- Choose When to drop voicemail: Only when I click the button or Automatically when a machine answers.
- Under After the voicemail plays, choose whether to Hang up automatically and Move to the next contact.
On a call, click Drop voicemail when you reach a voicemail box. The arrow next to it (Choose recording) picks a different recording.
AI voicemail voices
Admins set these up under Automatic voicemails on the same tab. In parallel dialing, voicemails are then left for you: the rep keeps dialing and never clicks.
- Turn on Leave voicemails automatically in Parallel dial.
- Under Voicemail script, click New, name the script and write what it says. Use Insert: to add First name, Last name, Company, Rep’s first name, Business name, Callback number or City.
- Click Hear it to listen, then Save script.
- Pick a Default voice. Hear all 15 voices plays them: English voices in several accents, and Canadian French.
- Set No second voicemail within: the days before the same person can get another automatic voicemail, from any list, rep or number.
A word after a bar is used when a field is empty: {{first_name|there}} says “Hi there”. Keep a script under 30 seconds.
Each phone number can have its own voice: on Phone → Numbers, set its Voicemail voice. When a machine answers, the dialer frees the rep and leaves the voicemail after the beep, in the calling number's voice. The same voices speak voicemail steps in a smart list's follow-ups.
Answering machine detection
Under Workspace voicemail policy, admins can turn on Run Answering Machine Detection on outbound calls, choose the Detection timing, and choose what happens When the system can’t tell if it’s a person or a machine.
