Calling lists: smart lists and static lists

Smart lists fill themselves from rules and follow up on a schedule. Static lists are people you add by hand.

Every power or parallel session dials a calling list. Find them under Phone → Power Dial (Calling lists). There are two kinds:

  • Smart list: keeps itself up to date from rules and refreshes every hour. It follows up people you didn't reach on set days, and only calls people inside their legal calling hours.
  • Static list: a list you fill by hand. It doesn't refresh and isn't held to calling hours (each person's local time is shown when you call).

Create a smart list

  1. Click New calling list and choose Smart list (keeps itself up to date).
  2. Start: choose what kind of list: New contacts, Follow up people I haven't reached, Deals in a stage, Contacts with a tag, Contacts in a place, Not called in a while, From a saved contacts view, Assigned contacts or Build your own.
  3. Who: answer the list's question (for example, which tags) or add your own rules. With no rules, the list calls everyone with a phone number who isn't on the do-not-call list.
  4. Calling: under How should it call them?, check Who dials (Each rep calls their own contacts or Anyone on the team calls everyone), the Follow-up days, what happens After the last follow-up (Stop or Come back later) and the Calling order for new people.
  5. Review the list, then save it.

Follow-up days are business days counted from the first try. The default is days 1, 4, 9, 15 and 22. Weekends and statutory holidays are skipped, and each try is at a different time of day. The same step can also send texts, emails and voicemails: see Follow up unanswered calls.

Who leaves a list

The outcome you save decides it. Appointment set, Interested and Not interested take someone out of every list they're in for good, and Not interested keeps them out of any list for 90 days. Do not call blocks them everywhere, and Wrong number stops that number. No answer, voicemail and busy come back on the follow-up days.

Create a static list

  1. Click New calling list and choose Static list.
  2. Enter a List name. Under When you dial it, choose Calling from, Call with, Pause between calls (seconds) and Wait before calling someone again (hours), and tick Outcome required or Dial the next person automatically if you want them.
  3. Save the list. To add people, select them on Contacts, click Add to calling list and pick the list.

Inside a list

A smart list has Overview, People, Script, Refreshes, Sessions and Rules tabs. Its card shows who is Callable now, Waiting, Done and To call yourself. You can pause, resume and archive lists, and duplicate static lists.
